It’s early October. You’ve completed your BCIT credential and started working as a coordinator for a local bike parts manufacturer [make up the company’s name]. After you were hired, you learned that the company is trying to improve its corporate social responsibility (CSR). The company did some research and found that companies with volunteer incentive programs report higher employee morale, greater employee productivity, and deeper customer loyalty.

As a result, your company is launching an employer-supported volunteer program that gives employees three days off per year to volunteer in the community. You hear about this new program and ask to be involved. Your manager, Cheryl Chan, tells you that she’s looking for someone to coordinate the new program, and you enthusiastically agree. You arrive at work on Monday, and have the following conversation with Cheryl.

You: ‘Morning Cheryl.

Cheryl: ‘Morning. I’m glad I ran into you. We’re ready to send a message to all the staff about the new volunteer program asking them to sign up for the first of their three paid volunteer days.

You: Great. After we announced the new program at the last staff meeting, I’ve had several conversations with people who are eager to start participating.

Cheryl: Glad to hear people are interested. We’ve approved a list of organizations and scheduled some dates that employees can take off work to volunteer.

You: Do you mind filling me in on the details now? I could get the message out to the staff this morning.

Cheryl: Sure. We chose three groups for the approved list. Stanley Park Ecology Society. HUB: Your Cycling Connection. Bikes for Tykes.

You (taking out your iPad so you can take some notes): So we’re sticking with the focus on the environment, bikes, and kids?

Cheryl: Yeah. Stanley Park Ecology Society does stuff with education, conservation, and wildlife monitoring. HUB: Your Cycling Connection is looking for people to volunteer for bike-to-work weeks, and Bikes for Tykes would be a good option for our people who actually work on the bike parts ‘cause that group repairs used bikes before they’re donated to under-privileged kids.

You: Hmm…. I think I’ll just attach some info on each group to the email. What if someone wants to volunteer with an organization not on the approved list?

Cheryl: Not allowed. I don’t mean to sound harsh, but since this is part of our CSR, we want to make sure that no one chooses to volunteer for something that might reflect poorly on the company, especially since they’d be volunteering on company time.

You: Any chance the list might expand in the future?

Cheryl: Yeah, but, at this point, let’s just get people signed up without having to worry about expanding the list. That’s a project for another time.

You: Okay. What about the dates?

Cheryl: Wednesday, November 21 or Tuesday, November 6.

You: Is this a full-day thing?

Cheryl: 8:00 a.m. to 4:00 p.m.

You: So basically the regular workday. That makes sense since everyone’s still getting paid. I can think of a few people who will be worried about the money thing and if they need to take vacation days. Even though they already know about the program, I better be extra clear about that.

Cheryl: For sure.

You: So my message needs to get everyone to tell me which group they want to volunteer with on which day?

Cheryl: That’s right. You’ll also need to make sure people don’t get back to you at the last minute. I promised the three volunteer organizations numbers by October 15.

You: Got it.

You wrap up your conversation with Cheryl, and head to your desk to email everyone. You want to keep it brief, so you decide to make an attachment with details on Stanley Park Ecology Society, HUB, and Bikes for Tykes. [Note: You do not need to actually create this attachment as part of your assignment.]
